Quote not opened: what to do when there’s no response

You’ve sent your quote, but you hear nothing back. The mistake many business owners make when a quote is not opened: they wait a week, assume the customer isn’t interested and write the opportunity off.
But silence tells you very little. The customer may have missed your email, the quote may be in their spam folder, or they may simply not have had time to look yet. That’s why it’s important to know whether your quote has only been sent, or has actually been opened.
What do the quote statuses sent and viewed mean?
A sent quote is not the same as a viewed quote. With a quote as a web page, the customer receives a personal link by email. As soon as they open that link for the first time, the status changes to viewed. That moment is recorded.
This distinction stops you from calling on guesswork. If the quote has not been opened yet, your first goal is not to sell. You first want to make sure the customer can find and open the quote.
A viewed quote does not mean the customer has read everything or is about to accept it. It only means the page has been opened. Treat the status as a practical signal for your follow-up, not as a prediction.
In creating and sending quotes online, you can offer quotes as both a web page and a PDF. That makes them easier to open on a phone than searching for a separate attachment in an email.
What should you do when a quote has not been opened?
Don’t wait until the quote has expired. Get in touch in a targeted way, without immediately asking whether the customer is ready to sign. Keep it easy and helpful.
A practical approach is:
- Check the status. If the quote is still marked as sent, the customer has not opened the link yet.
- Check the contact details. Make sure the email address is correct and that you sent the quote to the right contact person.
- Call or send a short message. Don’t ask: “Why haven’t you responded?” Do ask whether the quote arrived safely and whether the link opens.
- Send the link again if needed. That way, the customer does not have to search through a full inbox.
- Create a task for a new contact moment. This prevents the quote from disappearing under the day-to-day pressure after all.
A short message often works better than a long follow-up email. For example: “I just wanted to check whether our quote came through okay. I can see the link hasn’t been opened yet. Would you like me to send it again, or do you have a question?”
This also solves a common problem: a quote email in spam. Email is still email. Even a message containing a link can be filtered. The difference is that you can now see it has not been viewed, instead of discovering much later that the quote never got the customer’s attention.
Why a sent quote with no response is not immediately lost
Imagine you have prepared a quote for a veranda. The customer requested a price last week, you send the proposal on Monday and the status is still marked as sent on Thursday. Many business owners think: no interest, move on.
But you give the customer a quick call. It turns out they saw the subject line, but wanted to view the PDF on their laptop and forgot about it. During the call, you send the personal link again. That same afternoon, they open the quote and ask a question about the side wall.
That does not mean you have won the job. But without that call, the conversation would probably never have started.
This is exactly why you should not treat all silent quotes the same way. Divide them into two groups:
- Not opened: first check whether the quote arrived and is accessible.
- Viewed, no response: follow up on the content. For example, ask whether there are any questions about the design, schedule or options.

When should you send a quote reminder?
Sending a quote reminder can be useful, but it should not replace personal attention. Especially for a larger enquiry, a personal message or phone call is often more appropriate than sending a standard reminder straight away.
So decide in advance what you will do for each type of quote. For a smaller, straightforward enquiry, a friendly reminder after a few days can work well. For a large or unusual job, it is better to first create a task for yourself or your salesperson.

How do you stop outstanding quotes from falling out of sight?
A separate Excel list or a folder called ‘follow up’ only works while things are quiet. When lots of enquiries come in, quotes get left behind because nobody knows which follow-up has already been done.
Make sure every quote has a fixed place in your process. A pipeline board helps with that: every active opportunity sits on a card, with a stage and a value. You can spot more quickly which cards are not moving and which quotes need attention.
Also make a brief note of what you have done. For example: “Called Thursday, customer could not find the email, sent the link again. Call back Monday if there are no questions.” That way, a colleague can take over the conversation without the customer having to explain everything again.
The core is simple: do not write off a quote with no response too quickly. First check whether it has been opened. Only then choose whether to help the customer find it, follow up on the content or send a reminder.
