Website chat widget: when does a chat window pay off?

Chatwidget op website: wanneer levert een chatvenster iets op?

A website chat widget gives visitors an easy way to ask a question. This is especially useful for someone who is not ready to call and does not want to fill in a long form, but does want to know whether you work in their area or offer a particular option.

A chat window is worthwhile when you have enough visitors and they regularly get stuck on a small question. If you barely get any traffic, chat will not solve that problem. You first need more relevant visitors to your website.

When does a chat widget on your website really help visitors?

A visitor is often still in the research phase. They may want to know whether you also install in their area, whether a product is available in a certain colour, or whether they need to take measurements first. Calling can feel like a big step for a question like that, while a contact form feels unnecessarily formal.

With a chat widget, someone can ask their question straight away. You receive a notification and can reply from one inbox. This makes the step from browsing to getting in touch smaller, without requiring your visitor to enter a full sales conversation right away.

A website chat for customers is especially suitable when:

  • your product or service raises questions before someone submits an enquiry;
  • several people handle customer contact and conversations need to be handed over;
  • your website already gets a reasonable amount of traffic, but visitors rarely get in touch;
  • visitors are on your site outside your working hours too;
  • you want to quickly see which questions keep coming up.

A chat window is less useful on a website with little traffic. And if most visitors immediately need a price, dimensions or a lot of detail, a configurator for pricing and product choices may be a better fit. Chat is still a useful addition for questions that arise while they are choosing.

How do you add chat to your website and reply to messages?

You add the widget to your website and choose the colour, position, icon and greeting yourself. You also set your opening hours. This lets visitors know when your team is available and what happens outside those hours.

When a message comes in, it appears in the Klantly inbox. You can reply from your computer or on the go in the app. Your answer simply appears in the same chat conversation for the visitor.

You do not have to make everyone responsible at once. You can label conversations and assign them to a colleague. That makes it clear who is handling a question, even when the owner is out on the road or someone is off work.

If you first want to see how to enable this technically, you can find the steps in the guide to enabling the widget.

Why should online chat customer contact be linked to the customer record?

A separate chat system quickly becomes another place to check. The question is there, the quote is in another folder and the appointment is in a calendar. That works while one person remembers everything, but not when a colleague needs to take over the conversation.

In Klantly, a chat conversation is linked to a contact. If that contact does not exist yet, the conversation can create one. Alongside the conversation, you can then also see that customer's quotes, appointments and invoices. So you do not first have to search for who someone is and what was discussed before.

That makes all the difference when there is a follow-up question. Someone who asked about a sliding glass wall last week may come back later with a question about the quote. The colleague replying can see the history and continue where the earlier conversation ended. Read more on the page about managing customers and communication in one place.

What does this look like in practice?

Say you install awnings. On a Saturday evening, a visitor is looking at a retractable awning. They are not unsure about the product itself, but ask in the chat: “Do you also install in Zwolle?”

Your team does not necessarily need to be behind a screen at that moment. During opening hours, you can handle a message like this straight away. Outside opening hours, you decide what happens. If you use the AI agent for this, it can answer simple questions based on the knowledge you have recorded. If the agent does not know the answer, if it concerns a complaint, or if the customer asks for an employee, it hands the conversation over to your team.

On Monday morning, your employee can see the entire conversation. If there is already an appointment, quote or earlier question, that information is linked to the same contact. The employee can then respond directly instead of starting again with: “What exactly was this about?”

Do not use an AI agent as a replacement for your salesperson. It is mainly suitable for handling initial questions and handing over neatly when human contact is needed. The article on automating AI customer contact safely explains how to maintain that boundary.

When does a chat window deliver little value?

A chat widget is not a miracle cure for a website that is barely being found. It does not attract visitors by itself. Nor does it replace a clear offer, good product information or a way to get a price indication.

Also pay attention to follow-up. If you show a chat window but take days to respond, you create expectations you do not meet. So choose carefully who handles conversations and at what times.

Do not use chat for every step in your sales process. For an appointment, a booking widget may be more convenient because the customer can choose an available time themselves. For custom work with a price that depends on dimensions and options, a configurator often works better. Chat then remains available for the question that does not fit in the form.

A website chat widget works best as part of a clear process: a visitor asks a quick question, the conversation is linked to the right customer and your team can continue without searching around.
