A customer sends an email, later shares a photo on WhatsApp, then asks a question through the chat on your website. Without a shared inbox for customer communication, those messages end up in three different places. There is a good chance someone only sees the last message, or assumes a colleague has already replied.

That is more than inconvenient. A customer who does not get an answer will often contact the next provider. And if you do reply without knowing the earlier messages, that customer has to explain their situation all over again.

Why do customer messages get missed across different channels?

In a small business, customer communication often becomes fragmented without anyone really noticing. Email arrives in info@, WhatsApp is on the owner's phone, and website chat has its own separate system. Each channel works fine, until more than one person starts answering customer questions.

For example: a customer asks about the schedule for their patio cover through website chat. A colleague can see on the customer record that a quote was sent last week and that a measuring appointment is booked for Thursday. Later that day, the customer sends a WhatsApp message saying they would prefer a different colour.

Without a central history, that question may end up on a personal phone. The planner knows nothing about it, and the salesperson does not hear about it until days later. With a shared inbox, both the chat and the WhatsApp message are linked to the same customer. The planner can assign the conversation to the salesperson or create an internal task. The salesperson can read exactly what the customer asked and respond without starting from scratch.

What do you gain by managing customer messages from one place?

You cannot stop customers from getting in touch through different channels. In fact, many customers choose the channel that feels easiest at that moment. So the goal is not to remove WhatsApp, chat or email. The goal is to stop you from switching between separate places.

  • A colleague can take over a conversation during illness, holidays or busy periods.

When does your business need a shared inbox?
