Signed work order: how to record job completion properly

A signed work order will not prevent a customer from ever having a question or complaint. But you are in a much stronger position when you can see what was done, what the situation looked like and when the customer gave their approval. A loose photo on a phone or a verbal agreement is often hard to find later.
For technicians, installers and other trade businesses, information is created on site. That is exactly where you want to record it. Not days later, when a paper work order reaches the office and nobody remembers exactly which materials were used or what was already damaged beforehand.
What do you record on a signed work order?
A good work order is more than a list of hours. It is the job file, from the starting situation through to completion. The technician fills it in on their phone while the work is being done.
It can include:
- the work carried out;
- hours worked and materials used;
- a checklist of inspection points;
- photos from before and after the work;
- notes about specific details or extra work;
- the customer's name and digital signature;
- the time when the customer signs.
This keeps the facts from being scattered across a paper work order, a WhatsApp conversation and a technician's camera roll. They belong to the same job and the same customer.
Why are photos on a work order important?
Photos on work orders record what words do not always explain well. Think of damage that was already there, a difficult-to-reach connection or the finished situation after the work. By marking photos as ‘before’ or ‘after’, it is also clear later when they were taken during the job.
This is especially helpful when questions arise after completion. Was that scratch already there? Was the part replaced? Was that cable already in that location? Without a photo, it quickly becomes a discussion based on memories. With photos, you can both look at the same situation.
Photos are practical for your colleagues too. If a customer calls a week later while the technician handling the job is off, the person answering does not have to guess. How does a digital signature work on a work order?
After the work is done, you ask the customer to sign the work order on the screen. The customer enters their name and signature, and the time of signing is recorded. The signature and photos appear on the work order and in the PDF the customer can receive.
A digital signature on a work order shows that the customer approved what was on the work order at that time. This could cover the completed work, the work carried out or recorded extra work. So make sure the technician reviews the work order with the customer before asking for a signature.
A useful fixed order is:
- The technician enters the hours, materials and any notes.
- They tick off the relevant inspection points and take photos of the situation.
- They review the work order with the customer.
- The customer signs on the screen.
- The work order is completed and immediately available to find.
In practice, a signed work order with a timestamp and photos is stronger evidence than a verbal confirmation alone. It does not replace a careful conversation with the customer, but it does make clear what both parties understood at that moment.
What does recording job completion look like in practice?
Say your technician replaces a part on a customer’s awning at their home. Before starting, they take a photo of the existing situation. It shows damage to the exterior wall. They note this detail on the work order, so there is no later question about whether the damage was caused by the work.
During the job, they record the hours and materials used. Afterwards, they take a photo of the installed awning and tick off the inspection points. They then review the work order with the customer. The customer signs on the screen and the time is recorded.
If the customer calls later with a question, you do not first need to call the technician or search through phones. You open the work order and see the before-and-after photos, the work carried out and the approval. If more work is needed, you can act on it straight away instead of first finding out what happened.

Which disputes does a signed work order prevent, and which does it not?
A work order with customer approval mainly prevents uncertainty about factual matters. You are less likely to have a dispute about what was carried out, which materials were used, what situation the technician found and whether the customer saw the completed work.

At the same time, keeping records does not solve everything. An unhappy customer can remain unhappy, even with photos and a signature. A signature also does not remove a difference of opinion about the quality of the work or an expectation that was not properly discussed in advance.
So do not see the work order as a legal shield, but as a fixed way of working. You record facts at the moment they arise. That makes the conversation afterwards calmer because you are not relying on separate memories.
