A WhatsApp message often comes in while you are on a job or sitting at the table at home. Automating customer service with AI can help, as long as you do not try to let an agent handle every conversation without supervision.

The safe approach is simple: let the AI agent answer standard, factual questions and give it only the actions you have deliberately enabled. Is it about a complaint, uncertainty or a subject that needs a tailored approach? Then it hands the conversation over to a colleague.

Which customer questions can you safely answer automatically?

An AI agent is particularly useful for questions that get the same answer time and again within your business. Think of questions about your services, service area, way of working, delivery times and frequently asked questions. You enter this information yourself in a knowledge base, so the agent answers based on what you have provided.

That makes it suitable for answering chat messages automatically when your team is not immediately available. For example, when someone asks in the evening whether you work in their area, how a site-measurement appointment works or what the usual delivery time is.

The agent can also ask intake questions. Not as a long form with ten fields, but one question at a time in the conversation. The answers are stored with the contact, so you or your sales colleague do not have to start from scratch again.

When should an AI agent hand the conversation over to an employee?

Not every conversation belongs with an AI agent. A clear handover is exactly what prevents a customer from getting stuck in a conversation that goes nowhere.

You can set the agent to always hand over when:

  • it cannot find the answer in your knowledge base;
  • the customer explicitly asks for an employee;
  • the conversation is about a complaint or another sensitive subject;
  • you have marked the subject as something for a person;
  • the question requires judgement, custom work or professional expertise.

The agent then tells the customer that a colleague will take over. The conversation appears in the inbox as a handover, with a summary of what has already been discussed. An employee therefore sees more than just “call this customer back”; they also see the question, the answers already given and the information collected.

This matters, for example, when a customer reports that installed sun shading does not close properly. The agent does not need to guess at the cause and should not make any promises. It can acknowledge that the question has been received, hand over the conversation and, if needed, collect the relevant information. The assessment and next steps remain with your team.

How do you prevent automated answers from feeling impersonal or being incorrect?

A good setup does not start with technology, but with clear company information. Keep your knowledge base short and specific. Record what you do, where you work, which delivery times you communicate and which questions come up often. Check that information whenever something changes.

Also make a list in advance of subjects the agent should never handle independently. Complaints are an obvious example. But exceptional pricing, guarantees, technical assessments and non-standard arrangements are also better left to an employee when there is no fixed rule for them.
