You do not want a customer to book a time when you are already with another customer, have a personal appointment or are travelling. Preventing double bookings only works when your online availability reflects your real calendar, not a separate list of times.

With a connection between Google Calendar and the Klantly calendar, appointments and busy times stay in sync. That way, you only offer times online when you are genuinely available.

How does a calendar connection prevent double bookings?

The connection ensures that appointments you schedule in Klantly appear in Google Calendar. If you move or update an appointment in Klantly, that change is carried over too.

At the same time, time that is already busy in your Google Calendar is taken into account when Klantly determines which times are still available. This means a customer cannot choose a time through your website that is already blocked by another appointment.

This is especially important when your calendar contains more than customer visits. You may add personal appointments to Google Calendar, schedule travel time there or have other appointments that do not come from Klantly. That time does not need to be open for an online booking.

In short, this is what happens:

  • You schedule or change an appointment in Klantly and it appears in Google Calendar.
  • Busy time in Google Calendar is included in your available times in Klantly.
  • The booking widget on your website only shows time slots that are still free.
  • A customer who books online gets an appointment in your Klantly calendar and a confirmation.

This prevents you from having to maintain two systems separately. That is usually where double bookings start: your calendar has been updated in one place, but your online schedule does not know about it yet.

Which appointments are synced to Google Calendar?

An appointment you create or change in Klantly is synced to your connected Google Calendar. You can schedule an appointment from the customer card or directly from the calendar. For example, you can choose an appointment type, employee and location.

For a trade business, this could be a site survey, consultation, installation, handover or maintenance visit. An appointment is also linked to the contact. This means you can see on the customer record when you are visiting, what was agreed before and which quote or work order is connected to it.

That makes your schedule more than a collection of blocks. An appointment can turn into a work order, while the customer automatically receives a confirmation and later a reminder. Are personal appointments visible to colleagues?

No, the details of your personal appointments do not need to be visible to colleagues. For availability, the only thing that matters is that the time is busy.

Suppose you have a dentist appointment in your own Google Calendar on Tuesday afternoon. Klantly does not need to show why you are busy to prevent a customer from booking a site survey at that exact time. That afternoon simply will not be offered as an available time.

This gives you peace of mind, especially if you plan personal and business appointments in the same Google Calendar as the owner. You do not have to manually copy blocks into a second calendar all the time. At the same time, your team keeps an overview of the appointments that matter for work.

You can set who can see what in Klantly for each role and employee. This is useful when an installer only needs their own appointments and work orders, while the office team manages the whole schedule.

How does online appointment booking work with your availability?

First, you decide when customers can book online. Think about working days, times, appointment length and how many appointments can take place at once. You also choose which appointment types you offer online.

You then place the booking widget as a button or block on your website. A visitor chooses an appointment type, day and time, enters their details and receives a confirmation. If the time is already busy in Google Calendar, it will not appear as an option.

A practical example: you are an installer and carry out site surveys on Monday, Wednesday and Friday between 1 pm and 4 pm. There is already a personal appointment in Google Calendar at 2 pm on Wednesday. A visitor opens your website in the evening to schedule a site survey.

The widget does not show Wednesday at 2 pm. The visitor might choose Friday at 1:30 pm instead. That appointment is added to your Klantly calendar, appears in Google Calendar and the customer automatically receives a confirmation. You do not have to exchange emails to find out that Wednesday was not possible after all.

What do you need to set up to keep your calendar in sync?

The basics are simple: you connect your Google account to Klantly once. After that, new and updated appointments in Klantly are reflected in Google Calendar, while busy time in Google is taken into account when customers book online.

Then check whether your availability matches how you work. Do not automatically open up your whole working day if you also need to allow for travel time, administration or urgent jobs. Use appointment types with their own duration, so a consultation does not accidentally get the same short time window as a maintenance visit.

Also include these points when setting things up:

  • Choose which days and hours customers can book online.
  • Decide which appointment types are available online.
  • Check that your Google Calendar contains the times that should count as busy.
  • Set up confirmations and reminders so customers know what to expect.
  • Regularly review whether your availability still suits your season and workload.
